Correspondence Automation

Correspondence Automation

Correspondence Automation is a key way to reduce costs and improve customer satisfaction and retention by automatically processing written customer communication. The solution automatically captures, classifies, sorts and manages the workflow associated with paper mail, faxes, emails, attachments, forms, applications and overnight letters. The solution allows your organization to process information more effectively and improve staff productivity for cost savings, improved cash flow, and more timely communication with your customers.

The Technology

Data Extraction - J&B's Correspondence Automation solution uses Intelligent Document Recognition (IDR) technologies to identify and extract information from both paper and electronic documents thus replacing labor-intensive procedures. Information can be converted into data from structured forms, semi-structured documents (where document layout varies but the desired data fields stay the same, i.e., invoices) and unstructured documents where both data and format change (customer correspondence).

Classification - The system transforms all incoming data, whether they are scanned documents or digital formats, into electronic images. The images are analyzed using complex pattern matching algorithms that automatically classify and route the data without human intervention to the next appropriate step in the process according to customer specific business logic.

Voting - One key differentiator of the J&B Solution is that our IDR solution uses several different supplier algorithms, called "engines", for Optical Character Recognition (OCR) and Intelligent Character Recognition (ICR). The solution's engines then "vote" to produce the highest read rates and accuracy at both the page and field level.

Verification - Once the data is extracted with a high confidence level, the solution can then verify the information using any available database.

Routing - Following completion, data and images are routed to the correct destination in the organization and integrated with your ERP, ECM, CRM or line of business system.

Execution - Where the business logic warrants, the solution can produce the automatic execution of specific business processes. These could include the generation of an outbound communication such as an invoice, a confirmation letter or promotional material.
